The primary focus of this client-facing role is to support the Benefits Department in a specific function, or as a full-range Benefits customer service professional.    The Benefits Specialist is expected to exercise a defined set of functions on a daily basis, exercising autonomy in matters of familiarity or of low complexity.  The ability to manage work volume in an intelligent and focused manner is central to success in this role.  Strong administrative skills and experience, ability to navigate the HRIS (Darwin Database) with confidence, and accurate numerical data entry skills are essential.  Excellent communication and customer service skills are required. 

Essential Functions:

  • Responsible for ensuring all benefit plans are administered correctly and efficiently while adhering to deadlines of the plans.
  • Analyze and perpares monthly insurance carrier remittances along with sending a check request to the Accounting Department.
  • Audit benefit deductions and remittances.
  •  Work with payroll on issues regarding deductions or termination of employees or clients.
  •  Be responsible for additions and terminations in the HRIS system and with the carriers.
  •  Manage vendor/ broker relationships.
  •  Be responsible for the HRIS system as it pertains to the benefits and ACA.
  •  Management of the vendors and their online portals with the carriers.
  • Provide functional guidance and direction  to employees and clients on benefit offerings from Xcel HR or client
  • Respond directly to employee regarding the benefit issues when an Employee elevates concerns that require a subject matter expert regarding medical, dental, vision, flexible spending, transportation  and parking, Health SavingsAccount and life insurance plans
  • Be involved in the preparation of written employee communications,  plan employee communication meetings and presentations as it pertains to renewals and new business
  • Work with Manager, insurers  and internal departments to maximize plan performance and the employee experience,  as well as continually improving processes.
  • Research and resolve escalated employee issues with insurers and draft responses with guidance from Benefits Manager as needed.
  • Understand the ACA requirements and send out monthly ACA reports to the clients.
  • Administers COBRA paperwork and payments.
  • Provide, if needed,  quotes to clients during renewal or plan termination.
  • oordinate the on boarding process with Sales and payroll as it pertains to the benefits.
  • Manages the Flexible Spending and Tele Doc. plans.
  • Provide exceptional customer  service experience  to all  clients and  employees of those clients.
  • Training of new hires as needed on the systems and processes. 
Qualifications:
  • Associate’s Degree or Significant Job-Related Studies.
  • At least five years of robust experience in a full-spectrum Benefits Specialist role, in a high-volume workload environment.
  • Demonstrated success in a Customer Service role (internal or client-facing).
